Your Role
The selected candidate will have both administrative and clerical duties including:
• Manage the front desk: Answer front desk phones, manage office phone system, and transfer calls to employees. Greet visitors when they arrive for meetings with management or staff. Make a professional and courteous first impression with clients and visitors.
• Order office supplies and keep track of inventory
• Maintain copiers in working order
• Sort and deliver mail to employees
• Conduct New Employee Orientations
• Assist new employees with ordering business cards, phone/computer set-up, key access, and office supplies
• Perform various accounts payable duties and assist with expense reports.
• Project administrative support tasks such as database entry and document formatting support
• Other support tasks as needed.
This position is Monday – Friday, 8:00am – 5:00pm, in the San Diego office. This is not a remote position.
Qualifications
The ideal candidate will have at least 5 years of administrative support experience working in an office setting and at least 6 months of experience working with an environmental consulting firm.
You will also have / be:
• Proficient with MS Outlook, MS Word, Excel, Project, PowerPoint, and Adobe Acrobat is required
• Able to prioritize tasks and information flow and have excellent multi-tasking and time management skills
• Excellent communication and writing skills
• Excellent mathematical skills
• Ability to effectively use a computer and software
• Knowledge of basic office administration principles
• Able to maintain confidentiality of information
• Knowledge of and ability to practice proper business etiquette over the phone and in person
• Ability to listen actively to instructions and carry out assigned tasks
• Able to keep track of deadlines and meet them
• Strong attention to detail
• A positive, “can-do” attitude
Degree / Certifications
• BA or BS degree preferred.
Work Environment
• This position requires you to work in our San Diego office, Monday – Friday, from 8:00am – 5:00pm. (This is not a remote position).
• You may need to lift up to 20lbs.

The Salary Range for this position is $25.00/hour to $27.00/hour, depending on education, experience, skills, and location.
